What to do next

Settlement is where money goes missing, usually by accident. Tick these off as you go.

Next: the tour checklist, from deciding whether to tour to the 72 hours after you get home.

Paid help from Well Made Plays

We can help you book your next shows.

A list of venues and promoters that fit how many people you bring, pitch emails ready to send, and a schedule for following up.

  • Booking Outreach System $397

Venues and promoters that fit your crowd, pitches ready to send, a follow-up tracker, and local acts to share a bill with. You send the pitches; we don't book the shows or promise any.

Not sure what you need? A 30-minute call (opens in a new tab) costs $49, and the fee comes off any project you book within 30 days. Flat fees, never a percentage of what you earn.

How show settlement works

Settlement is when you and the venue sit down after the show and agree what you're owed. You bring the deal you agreed to. They bring the door count and the expenses. Run the numbers yourself before anyone hands you a total, and get it signed.

Guarantee, door split and versus

  • Guarantee. A flat fee, whatever the door does.
  • Door split. A percentage of ticket sales, usually of what's left after agreed expenses.
  • Versus. A guarantee or a percentage of the door, whichever is higher. The guarantee is your floor; a good night pays more.

The math that trips people up

Say the deal is 70% of ticket sales, sales come to $1,000, and $300 of agreed expenses come out first. Your share is 70% of $700, which is $490. It isn't 70% of $1,000. Both sides get this wrong, in both directions, so the report spells out the line every time.

What the venue can take out first

Only what's in the deal memo: typically sound, door staff, and ticketing and card fees. If a new line appears at the end of the night, ask about it before you settle. At clubs, the venue's ASCAP and BMI licenses (what it pays so songs can be performed there) are usually its own cost. Some shows run by an outside promoter list them as a show expense; if so, they should already be in the deal memo.

Questions

What's a versus deal?

A guarantee or a percentage of the door, whichever is higher. The guarantee is your floor; if the door does well, the split pays more.

Is the split figured before or after expenses?

Usually after. The agreed expenses come off the top, and the split is a percentage of what's left. Check your deal memo, and set the checkbox to match.

Do venues take a cut of merch?

Some do, more often at larger venues; many small venues take nothing. Confirm it with the venue before the show, and get it in writing.

Who handles sales tax on merch?

Usually whoever makes the sale. If the venue's staff sell your merch, ask whether they collect and pay it. If you sell it yourself, check that state's rules or ask an accountant before the tour.

What if the venue won't pay what we agreed?

Stay calm and specific: "We agreed to this. The math gives this. Can we settle to that tonight?" Write everything down the next morning, and try to resolve it directly before you say anything in public.

Can I keep a whole tour in here?

One show at a time for now. Download the CSV after each show: every download has the same columns, so each show's row pastes into one spreadsheet for the whole tour.
